Legally binding transactions with Xink or any company of its group are always based on a separate agreement. The Service users are reminded that the confidentiality of email messages sent via the public network cannot be guaranteed. Xink is not liable for delivering orders or instructions submitted via public email. Xink is entitled, if requested by the customer, to provide information via email to the email address defined by the customer.

Treatment of personal data

Xink will not pass on to any third person personal data provided when you access the Service, except when Xink is bound to do so by mandatory law or where you have accepted it. Personal data provided when you access the Service may be registered by Xink ApS and can form the basis of market and customer analysis, business follow-up, business method development, and actions aimed at protecting the intellectual property rights of Xink. Within the framework of the currently applicable secrecy provisions, personal data may also be accessed by another company in the Xink group or by another company with which the group cooperates. We use cookies to enhance your browsing experience and collect anonymous, aggregated statistical data. Our sub-processor may also use cookies to process the information you provide to improve your experience on our website. In addition, we use the visitor’s IP address – to reflect geo-specific currency and assign it to the geo-specific region (DC) of a trial account if the visitor decides to sign up for it. This helps our future clients fulfil their country’s GDPR and other Data Protection requirements.

We only store data that is necessary for our services to function properly. We never share this data with third parties or use it for anything other than providing our services. Your data is processed and stored on Microsoft Azure.

Examples of the data that may be stored on Xink Azure and used by clients include:
• signature images (synchronized from third-party services such as Azure AD or added manually)
• signature text (which may contain personally identifiable information like name, organization, email, phone number, or other information provided or  synced by the client for use in their email signature)
• links (URLs) provided in the signature
• mailboxes/users (synchronized from third-party services such as Azure AD or added manually, which may include personally identifiable information like name, organization, email, phone number, or other information provided or synced by the client)

It is important to note that Xink has no control over the data clients choose to include in their email signatures. It is the client’s sole responsibility to ensure that any information included in their email signature is intended to be visible to the recipient of the email. Sensitive personal information (SPI) should not be used in email signatures, as this data is intended to be kept confidential. The Xink platform serves as a trusted host for the data, and we build our platform on the principles outlined in this document.

When you use the Outlook add-in or Google Workspace app, your signature is inserted during email composition without storing or processing any email content. The signature is added directly to the email, ensuring a seamless experience without us needing to access or store any part of your email.

We authenticate your account using your email address (or domain) solely to synchronize your personalized email signature, and we do not use your data for any other purposes.

The data collected through our support services is essential for resolving customer inquiries, providing technical assistance, and improving our support offerings. The information enables us to better understand our customers’ needs, respond effectively to their queries, and deliver an enhanced support experience.

Types of Data Collected

The data collected during support interactions may include but is not limited to:

  • Customer contact details (e.g., name, email address, phone number)
  • Product or service information
  • Technical details related to the inquiry or issue
  • Communication logs and transcripts
  • Any other information voluntarily provided by the customer to facilitate support

Client controls access to their information, retention and disposal. On request, their data will be erased immediately and completely. By default, if an account was deactivated and the client no longer uses Xink and did not request data deletion, data will be automatically deleted from the Xink server after 90 days.
